Getting started checklist

Launch DaveCRM in under an hour with this sequence.

  1. Create your workspace → Add your brand, logo, time zone, currency, business hours.
  2. Invite your team → Users & Roles → Add user. Start with Admin + Sales roles. Use groups for locations.
  3. Import contacts → Contacts → Import CSV. Map fields. Use tags (e.g., Lead, Customer, Solar).
  4. Connect a phone number → Settings → Phone → Buy/Port. Enable Missed-Call Text-Back.
  5. Connect calendars → Settings → Calendars → Connect Google/Microsoft. Create a booking calendar.
  6. Warm up email sending → Domains → Verify SPF/DKIM, add tracking domain. Set a default From address.
  7. Publish one form or funnel → Sites → Forms or Funnels. Embed on your site or share the link.
  8. Turn on your first workflow → Automations → Choose a template (Lead Nurture, Review Request) → Activate.
  9. Test end-to-end → Submit a form → confirm contact appears, auto-replies fire, task created.
What order should I do things in?
Recommended order: Users → Numbers → Calendars → Email domain → Contacts → Forms/Funnels → Automations.
Where do I see everything happening?
Use Conversations for SMS/WhatsApp/email threads, Opportunities for pipeline stage, and Dashboard for live metrics.

Account & Billing

Plans, invoices, usage credits, and updating payment methods.

Change plan or payment method
  1. Go to Settings → Billing.
  2. Select Change plan (Free, Team, Local Unlimited, Unlimited Boost+), or update card/billing email.
  3. Annual plans charge immediately for the term; monthly renew each month.
Your plan includes monthly free credits that auto-apply to usage. See Usage Pricing & Credits.
View invoices and receipts
  1. Open Settings → Billing → Invoices.
  2. Click any invoice to download a PDF receipt.

Contacts & Pipelines

Keep people organised and deals moving.

Import a CSV of contacts
  1. Prepare a CSV with columns like First Name, Last Name, Email, Phone, Tags.
  2. Go to Contacts → Import CSV, upload your file.
  3. Map columns to fields (create custom fields as needed).
  4. Tag the batch (e.g., 2025-import) to filter easily later.
Build a sales pipeline
  1. Open Opportunities → Pipelines → New Pipeline.
  2. Add stages (e.g., New, Qualified, Quoted, Won).
  3. Turn on stage change triggers in Automations (send follow-ups, create tasks, notify owner).

Phone, SMS & WhatsApp

Numbers, compliance, 2-way messaging and missed-call text-back.

Buy or port a phone number
  1. Go to Settings → Phone and choose Buy (instant) or Port (bring your existing number).
  2. Assign the number to your location/IVR and inbound routing.
Enable Missed-Call Text-Back
  1. Open Settings → Phone → Call Handling.
  2. Toggle Missed-Call Text-Back and set an SMS template (e.g., “Sorry we missed you—how can we help?”).
  3. Test: call and hang up → confirm the SMS auto-reply is sent.
Available on Team+ plans. Free can log missed calls without auto-SMS.
Set up WhatsApp messaging
  1. Go to Settings → Messaging → WhatsApp.
  2. Connect your WhatsApp Business account. Verify your number and business display name.
  3. Add approved templates for outbound initiations; 2-way replies are free-form within the session window.
WhatsApp pricing is session/template-based and varies by region. See Usage Pricing.
Register for SMS compliance (where required)
Some regions require brand/number registration for business messaging. Complete sender registration in Settings → Messaging → Compliance to prevent filtering.

Email sending & domain authentication

Improve deliverability with SPF, DKIM and a tracking domain.

Authenticate your domain
  1. Go to Settings → Email → Domains and click Add domain.
  2. Copy the provided SPF, DKIM and Tracking DNS records.
  3. Add records at your DNS provider (e.g., Cloudflare, GoDaddy). Wait for propagation (can take up to 24h).
  4. Return to DaveCRM and click Verify.
Use a subdomain for marketing mail (e.g., mail.yourdomain.com) to isolate reputation.
Verify emails before sending campaigns
  1. Open Contacts → Tools → Email Verification.
  2. Select a list or tag, run verification to reduce bounces. See usage rates.

Calendars & bookings

Online scheduling, reminders, and reducing no-shows.

Create a booking calendar with reminders
  1. Go to Calendars → New Calendar. Choose Team or Round-robin.
  2. Connect providers (Google/Microsoft) and select available hours.
  3. Enable Reminders (email/SMS) and set timing (e.g., 24h & 2h before).
  4. Share the link or embed the widget on your site.
Reduce no-shows best practices
  • Use both email and SMS reminders with a clear Confirm/Reschedule link.
  • Send a same-day reminder with the location or video link.
  • For paid sessions, require a deposit in the booking flow.

Funnels, forms & payments

Build and publish a funnel
  1. Go to Sites → Funnels → New and choose a template.
  2. Add steps: Opt-inCheckoutThank You. Connect your payment provider.
  3. Map form fields to contact fields; tag submissions (e.g., Web-Lead).
  4. Click Publish and test the full flow.
Embed a form on your website
  1. Open Sites → Forms → select your form → Embed.
  2. Copy the embed code and paste it into your website page builder.

  1. Go to Automations → New → From Template and select Lead Nurture.
  2. Set the trigger (Form Submitted, New Contact, Pipeline Stage).
  3. Add steps: Send Email (FREE+), Send SMS (Team+), Wait, If/Else, Create Task.
  4. Turn on the workflow and test with a dummy submission.
Use ChatGPT Workflows (content generation)
Within a workflow step choose ChatGPT Action to draft replies, summaries, subject lines or posts. Usage billed per the table in Usage Pricing.
Conversation AI (web chat / inbox assistance)
Enable Conversation AI to auto-assist in live chat and message threads (qualify, answer FAQs, handoff to human). Billed per message processed.
Voice AI (call handling)
Set up Voice AI to answer common phone queries, capture lead info, and book calls after hours. Billed per minute processed.
Reviews AI
Auto-draft responses to new reviews with approved tone guidelines. You can approve before posting or let it auto-publish. Billed per response generated.

SMS not delivering
  • Check Messaging Status in the conversation — look for carrier error codes.
  • Verify your sender registration/compliance where required.
  • Respect quiet hours; large sends should be warmed up gradually.
Emails landing in spam
  • Confirm SPF, DKIM and tracking domain verification in Settings → Email → Domains.
  • Remove unengaged contacts; run Email Verification.
  • Send from a warmed subdomain and keep image/link ratio reasonable.
Calls not ringing users
  • Check number routing/IVR rules and user availability windows.
  • Ensure the user has the app installed and notifications allowed.
  • Test by calling from an external phone and review call logs.
